Getting started

Who do you work with?

Product and service businesses with roughly 5 to 25 people, where the owner is still holding too much of the day together.

You know the business needs better systems, but you're too deep in the week to build them. That's the sweet spot. If you're smaller or larger, book the call anyway. We'll tell you straight if we're the right fit, and if we're not, we'll point you somewhere useful.

Do you only work with businesses in BC?

No. We work with businesses anywhere in Canada and the US, all online.

Every step happens on video and shared screens: the first call, the assessment, the build reviews, team training and support. We use Google Meet, Zoom or Teams, whichever your team already knows, and we book calls around your time zone. US clients get quotes in US dollars.

What happens on the free 30 minute call?

You tell us how the business runs and what eats your week. We tell you honestly if we can help and what we'd fix first.

There's no pitch and no pressure. Most owners leave the call with at least one idea they can use, whether they hire us or not. If we both think it's a fit, we book the deeper assessment.

What's the deeper assessment?

Two hours on video with you and the people doing the work, mapping your tools and where time leaks. It's a small flat fee, credited in full toward your project.

We look at how a job moves through your business from first inquiry to final invoice, where people retype things, and where work waits on you. You get a written plan: what we'd build first, why it pays back first, and a fixed quote.

The plan is yours to keep whether you hire us or not. When you go ahead within 60 days, every dollar of the assessment comes off your project.

Do I need to be technical?

Not at all. You bring the knowledge of your business. We handle the build.

We explain every choice in plain language, and you approve the plan before any work starts. If something needs a decision from you, we bring you options with a recommendation, never a wall of jargon.

Cost and commitment

How much does it cost?

Every project gets a fixed price after the assessment, so you know the full cost before we start.

We don't post prices because no two businesses need the same build. A quick win, like getting your inbox under control, costs far less than a full operations system. Your quote spells out exactly what's included, what's not, and the monthly cost of any outside software.

How do payments work?

Half to start and half at handover. Larger projects split into three payments tied to milestones.

You never pay the full amount up front, and the final payment comes after you have the working system in hand. If the scope changes along the way, we agree on the change in writing before any extra work happens.

What about software costs?

Outside software is billed to you directly by the provider, so you own the accounts.

Often we can work with the software you already have. If we find a limitation that works against your goal, we'll show you what it is and what the options cost before you spend a dollar.

When a system does need outside tools, like a database platform, an automation service or an AI tool, we list the expected monthly cost in your quote, pick plans that fit your size, and skip subscriptions you don't need. Often we can cancel a tool or two you're already paying for.

Am I locked into a long contract?

No. You pay for the project you approve. Ongoing care is optional: month to month, or a lower monthly rate when you commit to 6 or 12 months.

After handover, many clients keep us on a monthly care plan for updates, small changes and new automations. Others call on us when the next project comes up. Either way works.

The work

Do I have to switch software?

Usually not. We start with what you already have and only suggest a change when it clearly pays back.

Plenty of businesses already pay for tools that can do far more than they're used for. When a spreadsheet has outgrown itself, we'll recommend a proper database, and we move your data over for you.

What software do you work with?

Yours. We start with the tools you already use, even if that's email and a few spreadsheets.

You don't need to know any of the tools we build with. If something you use limits what you want the business to do, we explain the limitation in plain words, show you the options and what they cost, and you decide.

If your accounting, inventory or industry software can connect to other tools, we can usually link it into the system. If it can't, we find a reliable workaround and tell you the tradeoffs first.

How do you set things up if you're not on site?

Your system lives in the cloud, so we build it in your accounts from here, with you on video for the few steps that need your hands.

You invite us as a user to the tools we work in, with only the access the job needs. AI helpers like Quill run in the cloud and connect to your email once you approve the connection on a short video call.

If a step has to happen on your computer, we walk you through it on a shared screen, or you give us remote control for that one session and end it when we're done. Software installed on a single office computer works too, through its cloud sync or a secure remote session, and your IT person is welcome to join.

How long does it take?

Simple fixes, like getting your inbox organized, can be live in a few hours to a few days. A bigger quick win takes a few weeks, and larger systems go live in phases, so your team starts using the first piece while we build the next.

Your plan lists a date for each phase. We'd rather hand you something useful in week three than something perfect in month six, and each phase teaches us more about your business, so the next one goes faster.

What if my team won't use it?

Change is the hard part of any new system, so we plan for it from day one.

We bring your team into the process early, build around how they already work, and show each person what the system takes off their plate. People get behind a change when it makes their own day easier, and that's what we design for.

Every system comes with documentation and how-to guides made for your team, plus 30 days of free fixes after handover. If something feels clunky, we change it. We don't count a project done until your team runs on it.

Will this replace my staff?

Your team stays. The busywork goes.

In the systems we've built so far, nobody lost their job. People got through more work in the same hours and dropped the parts they hated. As you grow, the system carries the extra load, so you can hire for the work that needs a person.

What if I do want to run leaner?

That's your decision, and we'll give you honest numbers to make it with.

Your plan shows where hours come back and roughly how many. Most owners first move people into work that grows the business, like sales, customer care or quality. If you decide to restructure, we document every process first so no knowledge walks out the door, and we keep the transition smooth for the people who stay.

What do the AI helpers actually do?

They draft, sort, check and report, and you stay in charge of every decision that matters.

Quill drafts email replies for you to review. Pigeon sorts the inbox. Gauge writes up your weekly numbers. Each one runs on rules we set with you, inside a system we build around your data. Anything sensitive or unusual comes back to a person.

What happens after handover?

You get full documentation, how-to guides your team can come back to, and 30 days of free fixes. After that, support is there when you want it.

Optional monthly care covers updates, small changes and new automations. If you'd rather run it yourselves, the documentation means any capable person can pick it up.

Trust and your data

Who owns what you build?

You do. Every account, every file and every automation lives in your name.

We build inside your accounts, never ours, and hand over full documentation at the end. If we part ways, you keep everything and nothing stops working.

How do you keep my data safe?

We sign an NDA on day one, ask only for the access we need, and remove it when the work is done.

You get a written list of the access we need and why. We use two-step sign-in on every account, keep passwords in a secure password manager, and keep each client's information separate. We never sell, share or reuse your information, and we never use one client's data for another client. Read the full details in our privacy policy.

Will you sign an NDA?

Yes, on day one, before we see anything sensitive.

If you have your own NDA, we'll review and sign that instead.

Can you work with my IT person, bookkeeper or developer?

Yes. We work alongside the people you already trust.

We loop them in early so the system fits how they work too, and we document everything so they can support it after we're done.
